We respectfully remind all our guests that a reservation on payment of a deposit constitutes a contract subject to the Terms and Conditions below. Failure to read the Terms and Conditions does not absolve guests from their responsibilities towards them. By booking with us you are accepting all Terms and Conditions and virtual signing as having read, agreed to and accepted them.
We advise that insurance cover be taken out at the time of booking to cover any eventualities relating to a cancellation, shortening, postponement or bringing forward of your booking or damage caused.
Arrival, Check-In/Check-Out and Housekeeping
Check-in time is between 5.00pm and 7.00pm (1700 hrs and 1900 hrs). If arrival after 7.00 pm (1900 hrs) is anticipated or a possibility, then do please let us know at the time of booking. Not being a hotel with a 24-hour receptionist but a family run B&B instead, arrival and check-in after 9.00 pm (2100 hrs) is strictly by prior arrangement and exception only, at least a week in advance. Please note however that we do not accept guests after 10.00 pm (2200hrs), as you can appreciate, this is so that guests that are staying with us who may be sleeping are not disturbed.
Check-out is by 10.30am (1030hrs). We have the right to charge a late check-out surcharge if check-out timings are not adhered to.
Please note that we do request that our guests vacate their rooms between 10:30 am and 1:30 pm (1030 hrs and 1330 hrs) to allow for housekeeping to maintain all rooms.
We accept payments by cash or credit/debit cards. Payment by debit or credit card is free.
By now (June 2020) guests should be aware of the risk of a further Covid-19 spread and, as such, understand the possibility that bookings may need to be cancelled. Bookings made for a stay from 4th July 2020 onwards will be treated like any standard booking, according to our terms and conditions below.
All payments, deposits, and balances will now be taken online to avoid the use of a PDQ machine where at all possible. A deposit payment will be taken at the time of booking with any balance taken from the card used to make the booking during your stay. An email receipt will be sent to you confirming payment. Should you require to use a different card to the one made at the point of booking or to split a payment, please contact us the day before arrival and this can be done over the phone. If there is a need to use a PDQ machine it will be sanitised prior to and after every use.
If you have to cancel your booking due to a forced closure by a Government lockdown, either national or local, after re-opening from the 4th July 2020 our usual terms and conditions will apply.
In the unlikely event that we have to change or cancel your reservation, we reserve the right to do so. However, you have the right to: accept the changed arrangements as notified; or make alternative arrangements with ourselves; or cancel your reservation and receive a full refund of any monies which you have paid to us in respect of your reservation (please note that we shall not be liable for any sums which you have paid to any other persons/parties in connection with your reservation).
For the avoidance of doubt, we shall have no further liability to you for any changes to or the cancellation of any online booking. We highly recommend you purchase travel insurance.
Usual Terms and Conditions
Cancellations are subject to the charges listed below. Once again, we strongly advise that insurance cover be taken out at the time of booking to cover any eventualities relating to a cancellation, shortening, postponement, illness or bringing forward of your booking.
Days prior to your stay — Cancellation charge (dependant on length of stay – see deposits)
More than 30 — 1 night deposit
15 to 30 — 1 night deposit
8 to 14 — 50% of planned stay
2 to 7 — Full cost of planned stay
For cancellations over Bank Holiday weekends, Easter, Christmas & New Year and special pre-planned events we reserve the right to charge you the full cost of your proposed stay.
We regret that a shortening, postponement or bringing forward of your booking will technically count as a cancellation of the original booking (and subject to a cancellation charge as detailed above) and the making of a new one.
A ‘no show’ counts as a cancellation.
Please note in the event of a multiple reservation being cancelled, the person initially responsible for the reservation will be liable for any outstanding balance, fees or charges.
We ask for a non-refundable deposit up front to confirm a booking. We can accept deposits by card over the phone. When we have received card details to support a booking, we block the room(s) off then confirm the booking by email once we have taken the deposit off your card. We generally try to do this within three days of receipt of card details.
Email addresses given to us by you over the phone may occasionally be subject to some error, despite best efforts on both sides. In this case, if you have not received a confirmation email within seven days of your deposit payment please contact us to confirm all is well.
In general, the deposit amount is linked to the length of your stay as detailed below:

COVID-19 – Essential changes to day-to-day operations
We pride ourselves in always having the highest hygiene standards but want to let you know that under current guidelines we are taking extra care to make your stay a safer one.
With this in mind we have carried out a risk assessment and in addition to increased cleaning practices, we have increased the number of sanitisation stations through out the establishment and we have reduced the usual linens and soft furnishings. We will also now only carry out essential room servicing (this will consist of emptying rubbish and the replenishment of the hospitality tray only).
Breakfast will also be a pre-ordered breakfast and will follow social distancing guidelines. Therefore if our establishment has 3 or more rooms occupied we will go to a 2 sitting breakfast service with set times so that strict guidelines can be met. Guests will be given a breakfast sitting and are asked to ensure that they abide by these new rules for the benefit of all.
The dining facility will also be made available in the evening for a short period of time if required for the use for guests to have a takeaway meal, again whilst observing social distancing guidelines.
Due to guidelines, we regret that NO takeaways are allowed in a guest bedroom.
Fully Non-Smoking Establishment
Smoking at Oakthwaite House is now against the law. Please note that in the event of any breach of this, we reserve the right to report the guest(s) to the authorities; the guest will also be asked to leave immediately.
Of key note, E-Vaping or any derivative of, is also not allowed within this establishment. Furthermore, the guest(s) responsible will be liable for professional cleaning costs in addition to the balance of the cost of their proposed stay.
Guests will be required to smoke away from the establishment including away from the front garden terrace area. We thank you for your consideration in this matter.
We reserve the right to charge guests for cleaning, repair and/or replacement costs as a result of damage to any item or part of our property. These charges will also apply post check-out if damage is found or call-out charges are required to repair or rectify damage. You authorise Oakthwaite House to send instructions to the financial institution that issued your card to take payments from your card account in accordance with the terms of your agreement with us as part of your acceptance of our Terms and Conditions.
Groups and group bookings
The person co-ordinating the booking will be regarded as the group leader and will be the point of contact. The group leader will be responsible for ensuring that all information relevant to the booking is passed on to all group members.
Oakthwaite House does not have a guest lounge. With this in mind we would ask that groups avail themselves of the numerous pubs and restaurants in town only a 5 minute walk away to socialise.
We require that groups do not congregate and more specifically, socialise in rooms, this we ask in the best interests of all our guests who may be trying to sleep or relax after a day’s walking in the fells or the beautiful surrounds.
We require that guests staying with us do not bring or allow non-staying guests into the establishment at any time. This we ask in the best interest of our other guests staying and our own privacy as a family home. Non-staying guests will be asked to leave immediately.
For final payment we will prepare one bill/receipt for the group with room rates broken down, and present this to the group leader.
Please be advised that in the interests and well-being of all our guests, we run a quiet hours policy. We respectfully ask that you are considerate when coming back from socialising in the many hostelries in town, with noise kept to a minimum during the hours of 10.00 pm (2200 hrs) to 7.00 am (0700 hrs).
Please note that there is a small surcharge of £5.00 per room per day if you require additional towels for your room or require a change daily. This is in place to reduce pollutants and help protect the beautiful UNESCO world heritage site status that the Lake District has been bestowed. Please also note that towels are for Guest House use only and must not be removed from the establishment.
Please note that there is a small surcharge for an early ‘check in’ of £15, however this is by no means guaranteed and by advanced booking and acceptance by ourselves. We ask this as early ‘check in’ times disrupt the day-to-day running of the establishment. (Not currently available during Covid).
Please note that we do not accept hen or stag parties at Oakthwaite House and we reserve the right not to accept and cancel your booking without recompense.
Unruly or anti-social behaviour that causes damage or offence, or affects an other guests well-being or their stay will not be tolerated, nor will anti-social behaviour against a member of staff and we reserve the right to ask you to leave the establishment immediately. This will still constitute a full booking.
One night stay single occupancy will incur the full room cost. We reserve the right not to accept your booking. In extreme and rare circumstances we reserve the right to cancel your booking or accommodate you in a different room of similar size and facilities to the one you booked. In these instances we will try to give you as much advance notice as we can (this may be via your booking provider).
